Explain when the decision is needed and what it protects, such as a launch date, production slot, or the next project step.

Use a single follow-up

When the deadline passes, send a respectful reminder that repeats the same decision link rather than starting a new conversation.

Keep the decision record

Store the final approval or requested changes with the version. This protects the timeline and prevents “which version did we approve?” later.
